How to Sound Less AI
To sound less AI, remove the habits a language model leaves behind: the warm-up line, the even rhythm and the vague claims. Paste your draft below, or learn the six rules first.
Why AI Text Sounds Like AI
A language model picks the next word that is most likely to fit. Do that for a whole page and you get writing made of safe choices. Each sentence is fine. Together they feel like nobody in particular wrote them.
Four habits follow from that. Sentences land at a similar length, so the text never changes pace. A paragraph promises its point before making it. Points come in matching bundles of three. And the safest words win, which is how phrases that fit any message creep in.
Readers pick up on this faster than you might expect. They may not name the cause, but they notice when a message could have been sent by anyone to anyone, and they skim it. The goal is not to hide that you used a tool. The goal is a message that is clearly about your situation.
Specifics are what the model lacks, because it does not know your Tuesday meeting or your 40 approvals. That is why most of the rules below ask you to put a real detail back. For measurements on a few hundred texts, see the data article on making AI text sound more human.
Six Rules for Sounding Less AI
Each rule has a short example. The samples were written for this page.
1Cut the warm-up sentence
The first sentence of an AI draft often greets the reader or restates the request. Delete it and start with the news. If the message still makes sense, the sentence was filler.
BeforeThank you for your patience while we looked into your question about the invoice. I am happy to provide an update.AfterThe invoice was charged twice. We refunded the second payment today, and it should reach your account in three to five days.2Vary the sentence length
Read the draft aloud. If every sentence takes the same breath, break one in two and join two others. Let one sentence be four words long.
BeforeThe team reviewed the proposal carefully. The budget was found to be within the expected range. The timeline was considered reasonable by all members.AfterWe went through the proposal line by line. The budget held up. So did the timeline, which surprised a few of us who expected it to slip.3Swap the abstract claim for one detail
Phrases like “improve efficiency” could appear in any document. A single number, name or place makes a sentence belong to you.
BeforeOur solution streamlines workflows and improves efficiency across departments.AfterFinance used to chase 40 approvals by email each month. Now they open one list.4Drop the not-just-X-but-Y frame
The frame sets up a contrast nobody asked for. Say the second half and stop.
BeforeThis update is not just a bug fix, it is a step toward a more reliable experience for every user.AfterThis update fixes the login bug that logged people out every hour.5Cut the trailing summary
A clause that ends with “highlighting the importance of” or a similar verdict phrase adds a verdict the reader did not request. End the sentence where the fact ends.
BeforeThe pilot cut onboarding time by a third, highlighting the importance of clear documentation in modern teams.AfterThe pilot cut onboarding time by a third. The new checklist is the part people used most.6Fill every placeholder, then check every figure
Drafts from chat tools sometimes keep square-bracket gaps where the name or the date should be. In our data, 18 of 50 Claude emails still had one. A rewrite can also move a number, so compare figures, dates and names with your original before you send.
BeforeDear [Recipient], I look forward to discussing the [Project Name] timeline on [Date].AfterHi Dana, can we talk through the Harbor redesign timeline on Tuesday at 10:00?
A Two-Minute Check Before You Send
Run through this list once the draft is done. It catches most of what makes a message read as generated.
- Read the first sentence. Would the message lose anything without it?
- Find the longest and the shortest sentence. If they differ by only a few words, change one.
- Circle every abstract noun, such as solution, efficiency or journey. Replace at least one with a thing you can point at.
- Look at the last sentence. If it repeats the body, delete it.
- Check every number, date and name against your source.
Let the Tool Do the First Pass
Doing this by hand takes a few minutes for an email and longer for an article. The tool highlights stock phrases and placeholders, rewrites the text at the strength you pick, and flags any number or name that changed. You still have the final say, because every paragraph can be edited before you copy it.
Questions About Sounding Less AI
Does sounding less AI mean adding mistakes?+
No. Typos and broken grammar make a message look careless, not human. What helps is specifics, a natural rhythm and plain words, all of which you can do while keeping the text clean.
How do I make ChatGPT sound less AI?+
Give it facts it cannot invent, such as the real date, the real number and the real reason, then apply the six rules above to what comes back. Or paste the draft into the tool on this page and let it flag the weak sentences.
Should I use more contractions to sound casual?+
Not as a rule. Among the human emails we measured, the typical count was zero contractions, so adding them is not a reliable signal. Match how you normally write instead.
What should I fix first?+
Start with anything a reader can spot in one glance: a bracketed placeholder, a leftover subject line, a stock opener. Those take seconds to fix. Sentence rhythm and paragraph shape take longer, so leave them for the drafts that matter most.
Do I need to change every sentence?+
No. Fix the sentences that carry a pattern and leave the rest alone. The Light level in the tool changes only flagged sentences and keeps everything else word for word.
Is it fine to use AI for a first draft?+
For your own emails, posts and articles, usually yes. For school work or anywhere the rules ask you to disclose AI help, follow those rules. Editing the draft in your own voice makes it better either way.
